Released On 29th Sep 2025
Quick Overview
- Client: Global IT company distributing employee marketing merchandise
- Project Scope: 89 individual deliveries across multiple Philippine islands
- Challenge: Delivering low-value promotional items (rucksacks, towels, pens) to employees across the Philippines while keeping costs low and ensuring compliance with import regulations
- Solution: Mouse & Bear consolidated all items into a single shipment, acted as Importer of Record (IOR), managed customs clearance, and coordinated final-mile distribution to 89 separate locations
- Impact: Every package delivered within 5 days, with full Proof of Delivery (POD). The client boosted employee satisfaction while saving significantly on duties and logistics costs
The challenge
This was an unusual challenge for our team, and a slight departure from our usual specialism in IOR for IT hardware and technical goods. A long-standing IT client wanted to send boxes of marketing giveaways – including branded rucksacks, towels, and pens – to 89 employees spread across multiple islands in the Philippines.
While the goods were relatively low in individual value, the logistics were complex. Sending 89 separate shipments would have been prohibitively expensive due to repeated import duties, taxes, and shipping costs. At the same time, the client’s top priority was to deliver all packages quickly and reliably, to maintain employee satisfaction and goodwill.
Our solution
Mouse & Bear designed a cost-effective, compliant approach:
- Consolidated imports: All giveaways were shipped together as a single consignment into the Philippines.
- Importer of Record services: Mouse & Bear acted as the authorised IOR, handling all regulatory requirements, including customs clearance, documentation, and payment of duties and taxes.
- Efficient distribution plan: After customs clearance, the shipment was divided into 89 individual packages. Our local logistics partners delivered each item across the islands within 5 days.
- Proof of Delivery: Every delivery was tracked, and the client received a signed POD for each shipment, ensuring accountability and transparency.
The results
Cost savings achieved: By consolidating the goods, the client significantly reduced import costs and avoided duplicate duty and tax charges.
On-time delivery: All 89 deliveries were completed within 5 days, even when multiple delivery attempts were required.
Employee satisfaction: The client successfully delivered branded gifts to their entire Philippine workforce, boosting morale and strengthening internal culture.
Strengthened client trust: The client was impressed with Mouse & Bear’s ability to handle a complex, unusual request, and we’re happy to say they continue to rely on us for international logistics support.
Why it matters
Even low-value shipments can become complex and costly when distributed across multiple international locations. By acting as the Importer of Record in the Philippines, Mouse & Bear simplified compliance, optimised costs, and ensured efficient delivery, helping our client achieve their goals without unnecessary delays or expenses.
